JOB PURPOSE

Support the company operations by accurately recording and controlling all items, supplies, parts, returns or Vessel Dispatch Advice (VDA) items leaving the warehouse by packing and recording of goods on packing lists and load lists according to the logistics containers or vehicle to be used for transporting the items.

Ensure the efficient dispatch of goods through good co-ordination with transporters, freight forwarders, clearance agents and suppliers to ensure timely import and export clearances of shipments.

Ensuring deliveries are not delayed or obstructed due to customs formalities, by timeously submitting all customs documentation and proof of payment of any charges, thereby reducing the chances of delays or incurring customs penalties.

 

DUTIES AND RESPONSIBILITIES

 

· Proper control and planning of goods to be dispatched by compiling packing lists for each logistics container recording the requisition number, purchase order number and weight of every item in each logistics container as well as transport load lists of goods to be dispatched.

· Use of Microsoft software and Pastel to generate accurate manifest invoices and Internal Branch Transfer (IBT) vouchers thereby recording accurate details of goods leaving the warehouse or yard.

· Ensuring each logistics bin or crate has an accurate detailed packing list attached and is correctly marked using the colour coded security packing tape to identify its destination.

· Accurately recording which logistics containers and goods are loaded onto a specific transport and ensuring the Internal Branch Transfers (IBT’s) accurately reflect this.

· Producing and submitting accurate and correctly completed manifest and invoices to the company’s vessels as well as the clearing agents for the company.

·Preparing the correct and detailed documentation for South African, and  international customs, specifying details for the temporary or permanent import and export of the Company’s items in compliance with prevailing import and export regulations.

· Maintain good customer relations with the company’s appointed clearing agents’ as well as SARS and attend to all customs queries.

· Applying and submitting provisional payments for import or export cargo as required.

· Identifying restricted or regulated items before dispatching to avoid customs delays or penalties.

· Co-operating with the Customs Relations Officer to obtain special permits such as CRAN, ITAC, medicines or other as required for cost saving on imports and exports.

·Preparing and submitting Vouchers of Change (VOC’s)  to clearing agents when changes or corrections to manifests occur or to amend incorrect entries.

 

QUALIFICATIONS AND EXPERIENCE

 

· Minimum Grade 12 with strong English reading, writing and speaking skills.

· Proficient with Pastel Evolution and Microsoft Office Suites.

· Minimum 5 years experience of warehouse dispatch and clearing agency procedures and processes.

· Experience of Easy Clear and other customs related software.
