Job requirements:
- Grade 12
- Experience in the same position
- Computer literate
- Strong administration skills
- Working with quotation for repairs and maintenance
- Excellent telephone manner
- Fully bilingual – English and Afrikaans
- Advanced Excel
- RedRabbit Property System experience
- Property / Rental Industry experience
- Own Car and drivers licence a must
Job responsibilities:
Answering the telephone
- Dealing with tenant complaints
- Advise owner of a call-out
- Open a ticket on RedRabbit
- Respond to incoming maintenance emails
- Acknowledge tenant
- Advise owner of a call-out
- Open a ticket on RedRabbit
- Set up maintenance appointments with tenants
- Image archiving daily (lots of images of jobs completed for the day from MG & contractors)
- Daily check to ensure that interim inspections are booked.
- Daily data capturing & database management
- Database for contractors keep updated
- Database for managing agents keep updated
- Capture info per complex new complexes issues experienced (this go hand in hand with opening the RR ticket)
- Update price lists monthly cost of materials, changes in contractor prices etc. (this is needed for RR input to do quotes)
- Daily dashboard check to ensure overdue tickets are being prioritized.
- General Office Duties
- Filing
- Copies of invoices
- Archiving
- Book vehicle maintenance via correct process
