Job Requirements:

  • Possession of Matric Certificate.
  • Demonstrates the ability to handle difficult customers
  • Determination to provide solutions for customers (consultative approach).
  • Must be result-orientated and able to work both independently and within a team environment.
  • Must possess excellent verbal and written communication skills.
  • Proficiency in using Microsoft Office Suite applications and/or preferably accounting software.
  • Service orientated experience will be an advantage, but not necessary.
  • SAP experience will be an added advantage.
  • Service package experience will be an added advantage.
  • Valid driver’s license.

Job Responsibilities:

PRIMARY FUNCTION:

Day to day administration of service calls, quoting, invoicing, and processing of all administration relating to the service department such as:

  • Accurately logging of service calls (Praxedo) and ensure they are assigned to the correct service technician.
  • Project manage and schedule technicians for equipment installations together with the sales team based on completed service requirements, payments/orders, stock availability and customer communication.
  • Become competent at quoting customers, checking spares availability and pricing to complete customer orders.
  • Invoice service technician’s job cards on Praxedo on completion.
  • Closing off job cards (Praxedo) with resolutions once the job is completed.
  • Source, investigate and provide service history on equipment for customer queries, including competence on SAP to source details of the customer.
  • Be willing and able to assist with controlling technician’s spares stock (issues, returns, variances & stock counts).
  • Identify and process warranty and guarantee claim service calls and invoices when required.
  • Answer customer and field-based queries, including account queries by telephone and e-mail.
  • Providing holiday AND SICKNESS COVER FOR OTHER OFFICE STAFF.
  • Carry out such administration tasks as may be required.
  • Compiling a job card register of completed jobs for reconciliation purposes.
  • Tracking spares orders relating to jobs with the spares department.
  • Assist with annual stock count.

SECONDARY FUNCTION:

Day to day administration of office:

  • Relieve switchboard when necessary and direct messages to correct departments.
  • Assist technicians with purchase of local spares.
  • Assist technicians with internal ordering of spares and internal transfers.
  • Assist with scheduling of technicians.
  • Assist with invoicing on SAP when necessary.
  • General relief of administration overflow where necessary.
  • Archiving of documents in the office to create order and traceability.
