JOB PURPOSE

 

Supports the Company and Human Resources department as Assistant HR Manager for HR Management responsibility areas i.e Recruitment, Training & Development, OD, HR Projects, EE, Reward and total HR Generalist function areas

 

DUTIES AND RESPONSIBILITIES :

  • Manage and coordinate the overall recruitment process.
  • Identifying a valid need for a new employee & positions.
  • Manage all new requests from HOD’s / OSM request for new personnel.
  • Manage and ensure the recruitment tracker is up to date and communicated to Group HR Manager and CFO weekly.
  • Preparation of job descriptions and job adverts.
  • Review CV’s and present relevant CV’s to Head of Department / OSM’s with vacancies.
  • Perform reference checks on suitable candidates and validate certificates
  • Set up interviews with candidates
  • Coordinate and assist with HR crewing logistics and crew matters.
  • Manage and coordinate the training officer with overall Group training and development.
  • Manage and coordinate the organizational development of the Group.
  • Manage and assist with Group organizational charts and ensure these are up to date and aligned.
  • Manage and ensure that Group Performance Management appraisals is completed and executed timeously for both off-shore personnel and on-shore personnel.
  • Manage and ensure all employees in the Group has KPI’s and aligned appraisals.
  • Ensure all appraisals are communicated effectively and executed accordingly and timeously by Group HOD’s. Total responsibility.
  • Ensure that every employee in Group has a JD aligned to Group structure.
  • Responsible for salary gradings, Patterson gradings are executed, implemented and managed effectively in-line with salary market reviews.
  • Manage and coordinate all salary benchmark processes and report directly to Group HR Manager.
  • Manage and ensure that all IOD’s are captured correctly and assist the training officer/H&S consultant to report these to the Compensation Fund for all entities in Group.
  • Ensure and manage HR risks and compliance with direct reporting to Group HR Manager.
  • Manage and ensure that all HR systems (processes) are in place, managed and updated regularly. Direct reporting to Group HR Manager on all compliance HR systems.
  • HR Project management and coordination and direct reporting to Group HR Manager.
  • HR Management reporting on monthly basis to Group HR Manager.
  • Manage and responsible for EE reporting and the successful submission and compliance thereof.
  • Ensure that Group salaries are constantly reviewed, market benched and ensure compliance thereof.
  • Ensure all Group policies are reviewed with Group HR Manager and executed, implemented and communicated accordingly.
  • Manage and assist with salary reviews and ensure the process is managed and executed fairly and timeously.
  • Weekly meetings / interactions with OSM’s / Line Managers to ensure all HR matters and projects are executed and addresses timeously and accordingly.
  • Manage and ensure that all IR/ER are handled fairly and in-line with the BCEA and LRA regulations and Group code of conduct.
  • Ensure that constant employee interaction is executed and employee (Offshore and Onshore) is handled accordingly to ensure that all employee matters is addressed.
  • Manage employee wellness days.
  • Manage and ensure that HR database is up to date and accurate. Total responsibility.
  • Manage and execute all exit interviews and report to Group HR Manager the final reviews and correction on employee matters.
  • Coordinate all new HR projects and ensure the timeously and cost/budget effective execution thereof.
  • Assist HR team to ensure the Group has accurate sea leave balances and ensure the timeously execution and reporting to Group HR Manager thereof.
  • Assist timeously with employee requests regarding human resources issues, HR policy & procedures implementation reviewing, and regulations.
  • Interactions with vessels/OSM’s on all crew issues and (one stop) HR for issues/matters.
  • Communicate with public services when necessary, hospitals, UIF, Labour department, etc.
  • Ensure that initial orientation for newly hired employees is provided on first day of employment, together with security tags
  • Ensure that all HR records is updated and maintained and that HR personnel records and database is structured and correct both electronically and manual filing.
  • Assist and manage and ensure that all other ad-hoc HR duties is executed timeously and accurately.

 

QUALIFICATIONS AND EXPERIENCE

  • HR Management B Com Degree or National Diploma HR Management (3 Years) (Non Neg)
  • 5 – 10 years’ experience in a supervisory  HR role  (Non Neg)
  • Must have experience working in a fast paced HR environment (Non Neg)
  • Mining / Marine or off-shore industry experience preferred.
  • PC literacy (MS Office, Pastel in particular)
  • Basic knowledge of labour laws
  • Excellent organizational skills
  • Strong communications skills
