Job Requirements:

  • Matric
  • Experience in a similar position being preferred.
  • Computer literacy, proficient in Microsoft Office software (Word, Excel, Outlook and Power point).
  • A legal driving licence.
  • Must be able to read, write, speak and understand the English language.
  • Must be able to communicate clearly and concisely, orally and in writing, including formal communication and making presentations.
  • Must possess the ability to make independent decisions when circumstances warrant.
  • A sense of urgency with a strong customer service orientation.
  • Hard working, resourceful, ambitious with excellent business acumen.

 

Job Responsibilities:

The employee will be part of the Engineering Department, responsible for all project administrator-related activities

  • Attend all project kick-off meetings with the responsible engineer (internal and external).
  • Ensure that each project has an approved Databook index from the client with input from the responsible engineer.
  • Create a Document register for each project with input from the responsible engineer.
  • Ensure the project schedule is up to date and must flag outdated schedules with the responsible engineer.
  • Record the status of all documents and update the document register accordingly.
  • Create transmittal notes for each document that will be sent out to the client.
  • The project administrator is to send all documents to the client with a transmittal note as per the responsible engineer’s request.
  • Project Administrator to create production files for each project after approval of documents.
  • Manage all documentation-related aspects of new and existing contracts.
  • Be proactive in communicating and following up on outstanding technical documentation to ensure that all contract files are complete within the necessary time frame.
  • Ensure that all QC documents are compiled by the QC department and filled in correctly for each project.
  • Ensure documentation in the files and on the server, are up to date.
  • Ensure all files and procedures are in line with ISO requirements.
  • Show the ability to monitor the documentation deliverables for various contracts, and to flag potential issues on projects where poor documentation delivery and control is posing a problem to the success of the project.
  • Compile a complete Databook for each project based on the approved index.
  • Ensure the client has received Databook and signed off transmittal.
  • Assist all engineers with related projects.
  • Assist external and internal customers with project-related queries.
  • Office based.
  • Is subject to work beyond normal working hours, evenings, weekends and holidays should the need arise.
  • Required to attend and participate in continuing educational programs designed to keep you abreast of changes in your profession.
